BlazeForce handles personal data carefully. This page explains which data we process through the website, contact forms, the AI chat/Ember, cookies and possible follow-up services.

Who is responsible?

BlazeForce, Onze Lieve Vrouwestraat 137, 4735 AB Zegge, the Netherlands, Dutch Chamber of Commerce number 86871412, is responsible for the processing of personal data through this website. For questions, use the contact form or e-mail info@blazeforce.nl.

Which data do we process?

We only process data needed for contact, security, analytics and service delivery. This may include:

  • name, e-mail address, phone number and organisation;
  • the content of your message or request;
  • page context, language choice, referrer, search term or campaign data;
  • technical data such as IP address, browser, date/time and security logs;
  • chat messages and compact summaries when you use the AI chat or Ember.

AI chat and Ember

This website uses an AI intake assistant. The assistant provides general high-level guidance and helps visitors formulate a request. The chat is not legal, financial, medical or binding technical advice and does not replace a personal conversation with BlazeForce.

When you use the AI chat, your message, previous chat context, language, page title and page content may be processed to generate a response. This may involve an external AI provider such as OpenAI. The API key is stored server-side and is never shown in the browser.

We ask for explicit consent before contact details and chat context are sent or stored as a lead. Do not send special categories of personal data, passwords, API keys, medical data or other information that is not needed for your request.

AI chat leads are sent to BlazeForce by e-mail by default, including a compact summary of the conversation. On our own website, leads may also be stored in our Nextcloud/CRM environment. When Ember is implemented on another website, we agree per situation whether leads are sent only by e-mail or also routed to a CRM system.

Why do we use data?

  • to respond to your contact request or chat lead;
  • to prepare a meeting, quote or follow-up project;
  • to prevent spam, abuse and security incidents;
  • to improve the website, forms and AI chat;
  • to comply with legal obligations.

Legal bases

We process personal data based on consent, performance of a contract or pre-contractual steps, legitimate interest such as security and follow-up of business enquiries, and legal obligations where applicable.

Sharing with third parties

We only share data when needed for the website, communication, security or service delivery. This may include hosting, e-mail, WordPress, security software, analytics after consent, OpenAI or a similar AI provider, Nextcloud/CRM and other parties required to perform an assignment.

We make appropriate agreements with processors. If data is processed outside the European Economic Area, we use appropriate safeguards such as standard contractual clauses or another valid transfer mechanism.

Retention periods

We do not keep data longer than necessary. Contact requests and leads are retained as long as needed for follow-up, customer relationship, administration and legal obligations. Chat transcripts are not kept unnecessarily; where we retain chat information, we prefer compact summaries and a limited retention period. Technical security logs are retained for a limited period unless longer retention is needed because of abuse or investigation.

Cookies and similar technologies

The website uses necessary cookies for security, sessions, language choice, accessibility preferences and cookie preferences. These are needed for the website to work properly and securely.

Statistics cookies and external content are only loaded after consent. Google Tag Manager and Google Analytics are only activated after consent for statistics. External content, such as maps or video, is blocked by default until you allow external content.

You can adjust your preferences through the cookie settings on the website.

Security

We take appropriate technical and organisational measures, including HTTPS, security headers, access restriction, WordPress hardening, nonce verification, rate limiting, spam reduction and server-side processing of sensitive configuration such as API keys.

Your rights

You have the right of access, rectification, erasure, restriction, objection and portability where the GDPR allows this. You can also withdraw consent for future processing. Contact us via info@blazeforce.nl.

If you are not satisfied with how we handle personal data, you can lodge a complaint with the Dutch Data Protection Authority.

Changes

We may update this privacy and cookie statement when our website, services or the law change. The latest update date is shown at the top of this page.
